Organizing Communications for Impact

BTRC's 1.5-day program, Organizing Communications for Impact, guides participants through the thought, analysis and organization process that forms the basis of sound communications, regardless of method of delivery (e.g., print, electronic, verbal).

This program departs from classic "writing" programs that focus on the micro skills of grammar, punctuation, and sentence structure. It is also not a presentation skills program. It looks exclusively at organizing information to increase knowledge/understanding or to influence thought/action. It is delivered in a 2-day format and accommodates up to 14 participants.

  • Day 1 includes all 14 participants in a workshop format during which key organization concepts are presented and used to organize a "real world" communication that participants bring to the program via a pre-work assignment.
  • Day 2 is divide into half-day sessions to include 7 participants each. Participants present an overview of their organization strategy and receive feedback from the instructor and group.

BTRC teaches Organizing Communications for Impact using a three-phase approach:

Phase 1 - Decide Purpose

  • General Purpose: Inform or persuade?
  • Specific Purpose: Informing or persuading about what?
  • Audience Analysis: Who are they…alone…in relationship to one another/topic?
  • Landscape Analysis: Who am I in relationship to them? What's the occasion?
  • Specific Purpose for Audience (SPA): What is the bottom line?

Phase 2 - Select, Order and Support Key Points

Select - So much to say, so little time.

  • Scope: What is there to know?
  • Slice and Dice: What matters?

Order - Prioritizing with purpose.

  • Linear: State then support
  • Linked: Support then state

Support - How much is too much?

  • Details: Right levels
  • Examples: Make the point
  • Descriptions: Create vision
  • Definitions: Techno babble
  • Statistics: Comprehendible
  • Testimony: Significant and credible

Phase 3 - Refine and Package Message

  • Open: SPA and Credibility
  • Close: State/Restate Specific Purpose, Next Steps
  • Flow: Balance, Strength, Cohesion
  • Enhancements: Visual Support, Documentation
